Improved Responsiveness by 400% and Documentation Compliance by 100%

About Rose Blumkin Jewish Home

Rose Blumkin Jewish Home (RBJH) is a high-quality Not for Profit provider of skilled nursing services. Committed to a resident-centered approach, RBJH recognized the need to modernize its communication infrastructure to improve efficiency, reduce delays, and enhance the integration of critical information in their PointClickCare EHR.

Situation at a Glance

Prior to adopting Hucu, RBJH relied on traditional, often fragmented, communication methods for exchanging patient information, notes and orders between physicians and facility staff. These methods included phone calls, faxes, and potentially less secure options like standard SMS or email. This resulted in inefficiencies, potential delays in getting orders into the EHR, and increased administrative burden on nursing staff. The state’s requirement for all care-related communication to be documented in the EHR further highlighted the need for a more integrated solution.

Challenges

1

Inefficient and Time-Consuming Manual Processes:

Orders received via phone or fax required manual transcription into the PointClickCare EHR by nurses and secretaries, in order to be put into action by nurses, a process that took approximately 5 minutes per note / order once the secretary had the voice mail, email, etc. With an average of 10-30 orders daily (and up to 30 on physician round days), this manual entry was a significant time burden.

2

Delayed Order Response:

The lag time between a physician issuing an order via phone or fax and it being put into action could be substantial, ranging from 1 to 4 hours or even longer depending on staff workload and the urgency of the order. This delay could impact timely care delivery and accurate record-keeping.

3

Potential for Errors and Misinterpretation:

Verbal orders taken over the phone were susceptible to misinterpretation. Illegible faxes could lead to errors during transcription into the EHR. Furthermore, amidst the effort to manually enter notes and orders into PointClickCare as quickly as possible, often times certain notes were never documented, exposing the organization to possible issues.

4

Increased Administrative Burden and Staff Frustration:

The inefficiencies of these traditional communication methods contributedto increased administrative workload for nursing staff, leading tofrustration and potential for burnout.

5

Lack of Secure and Documented Communication:

Standard SMS and email posed risks to HIPAA compliance. Phoneconversations lacked a readily available audit trail within the EHR,making it difficult to track communication and ensure accountability.

Solution: Implementing Hucu with PointClickCare Patient Chart level Integration

RBJH strategically implemented Hucu with Patient chart level integration into PointClickCare EHR to establish a modern, efficient, and HIPAA-compliant communication solution. This transition replaced the reliance on outdated methods with a unified digital platform. Key aspects of the integrated solution include:

Centralized and Secure Communication

A single platform for all physician-staff communication needs, including text/secure messaging, voice, video, and sharing of documents/forms and pictures

Direct Integration with PointClickCare (EHR)

Integrating Hucu with PointClickCare allows users to not only receive notes and orders as secure messages, voice-clips, or even verbally in real-time, but then record those in the EHR in 2 clicks, saving time, speeding responses, and ensuring documentation compliance. Thus, significantly reducing or eliminating the need for manual transcription

Improved Real-Time Awareness and Accountability

Hucu provided more immediate and direct communication between all members of the care team, leading to faster interventions by nursing staff. The digital nature of the communication also improved accountability and the ability to track information

Enhanced Data Accuracy and Compliance

By moving away from error-prone manual transcription of phone and faxed orders, Hucu has improved accuracy of information in PointClickCare and ensures HIPAA compliance

Reduced Administrative Burden

By allowing the care team to communicate directly with one another, and then memorializing only what's important in that communication in the EHR in only a few clicks, the team can focus more on direct patient care

It's amazing how much more frequently our staff communicates with the doctors now because Hucu is so user-friendly. This simple change has really streamlined our workflow and feels like it's removing barriers to providing even better care for our residents.

Conclusion

The strategic shift from traditional communication methods to Hucu integrated with PointClickCare at Rose Blumkin Jewish Home has led to increased efficiency in handling patient notes/orders, a substantial reduction in communication and documentation lag times, and the establishment of a more secure and compliant communication environment. By streamlining workflows and improving the flow of information into the EHR, Hucu has reduced administrative burdens on staff, enhanced collaboration with physicians, and contributed to a more responsive and potentially higher-capacity care facility.
